Meeting Theme Each Gimli Toastmasters meeting is conducted around an Evening Theme. The 'Word of the Evening' is also derived from the theme.

The Chair The Chair Person or 'The Chair' conducts the first part of the meeting up to the point when the Toastmaster is introduced as well as Adjourns the meeting.

The Toastmaster The Toastmaster conducts the second half of the evening, which is the prepared speaking section of the meeting.

The Grammarian The Grammarian is the 'fine tuner' of speaking skills. He or she is responsible for choosing a 'Word of the Evening' that is useable in everyday language. The Grammarian also presents a report during the meeting entailing exceptionally good or poor use of grammar.

The Sargeant @ Arms The Sargeant at Arms is the master host and plays a critical role in the success of every meeting. His or her responsibilities include

  • Arranging the room
  • Displaying the Toastmasters Emblem and direction sign outside the meeting room
  • Set up the timing lights and the Toastmasters Banner
  • Provide water and cups, to facilitate the toast
  • Distribute mini evaluation slips to members and guests
  • Be at the door to greet members and guests as they arrive
  • Ensure that each guest signs the guest book, is given a name-tag and any publicity material available
  • Collect ballots and tally votes for Table Topics, Speaking or Evaluation Awards. Present tallies to the Toastmaster.
  • Assist speakers in handling props.
  • At the meeting close, make sure room is tidy and stow the equipment box in the storage room.

The Table Topics Master The Table Topics Master's job is to present three or four 'Table Topics' in which appointed or volunteered members will speak on one topic each for up to 2 minutes.

The Timekeeper The Timekeeper is responsible for keeping and recording time for various parts of the evening. The timekeeper is also responsible for notifying the speakers during time portions of the meeting via the lighting system. One of the goals of Toastmasters is to teach us to say what we have to say in the allotted time.

The Table Topics Evaluator The Table Topics Evaluator's job is to formally evaluate the table topics participants as well as the Table Topics Master. More specifically, to point out what was done correctly as well as points for improvement.

The Quizmaster Listening is as important of a skill as speaking. The Quizmaster's job is to ask questions on material that originated during the meeting to help us improve our listening skills as well as gauge how well we're doing.

The Business Chair The Buisness Chair conducts the Business Session. Club Business is discussed and decisions are made during the Business Session.

The General Evaluator The job of the General Evaluator is to evaluate the meeting as a whole, to point out what was done correctly and to suggest points of improvement.

The Parliamentarian The Parliamentarian is responsible for evaluating the Business Session, to point out what was done correctly and to suggest points of improvement.

"Word of the Evening" The "Word of the Evening" is presented by the Grammarian. Its' meaning is explained and examples used. Everyone is encouraged to use the word during the course of the meeting.

Toast A toast to a non-fictional person or group of people is presented by a different person each week. After all it is called Toastmasters!

Tips A prepared mini speech is presented on anything that the Tipster desires.

Evaluations The only way to improve is to have pointed out what we are doing correct and what could use improvement. Each Speech is formally evaluated.

Awards Three types of awards are up for grabs during each meeting. They are for Best Table Topics, Best Speech, and Best Speech Evaluator.

Guest's Comments During a Toastmaster's meeting everyone is given the opportunity to speak. This is the point where Guest's can make comments about what they experienced during the meeting.
